Files
The Files section of the Knowledge Hub provides a searchable library for your team’s documentation.
Uploading files
Section titled “Uploading files”Upload documents, manuals, guides, and other reference materials to make them available to your team. Supported file types include PDFs, images, spreadsheets, and other common document formats.
Files can be uploaded to:
- The Knowledge Hub (workspace-wide reference)
- Device Models (technical documentation for a device type)
- Individual devices (device-specific files)
- Work orders, cases, and other entities
Searchable documentation
Section titled “Searchable documentation”Uploaded files are processed and made searchable. After processing (which may take up to 24 hours for new uploads), you can search for content within your documents.
These files are also available through Smart Search (the magnifier icon in the header bar), so you can search your documentation directly from the search bar.
Where does each file belong?
Section titled “Where does each file belong?”Knowledge Hub files on device models are meant for general, model-wide documentation that applies to all devices of that model — such as operating manuals, datasheets, or FAQs.
Files that concern only a single, specific device (for example the purchase contract for that exact device) should ideally be stored directly on the device — via the device page under Files. This keeps device-specific paperwork attached to the right device, while model-wide documentation stays centrally available on the device model.
File organization
Section titled “File organization”Organize your files with:
- Titles — Give files descriptive titles for easy identification
- Descriptions — Add context about what the file contains
- Language/Locale — Specify the language of the document
Best practices
Section titled “Best practices”- Upload operating manuals and safety guides when adding new device models
- Attach relevant technical documentation to Work Templates
- Use descriptive titles so files are easy to find
- Update files when new versions of documents become available
