Picking

Picking allows you to prepare spare parts specifically for a work order — either by requesting them from inventory or by directly transferring them to the picking location.

Each work order automatically receives its own picking location, named after the public ID of the work order (e.g. WO-00123). This location is a special part location assigned exclusively to that work order.

The picking location can contain:

  • Requested parts — Parts that have been requested for the work order but not yet physically moved
  • Staged parts — Parts that have already been physically transferred to the picking location
  • Disassembled parts — Parts that were removed from a device during the work order and booked to the picking location

Parts can be added to a work order’s picking location in two ways:

  • With a request — The part is marked as needed but remains in regular inventory and is not reserved. Requests appear in the picking overview so that warehouse staff can see which parts are needed for which work orders. When the part is then transferred to the picking location in the requested quantity, the request is marked as fulfilled. It is also possible to fulfil a request with multiple transfers.
  • Without a request — The part is moved directly from inventory to the picking location using the normal transfer dialog.

Once a spare part has been transferred to a picking location, it is no longer available for other bookings until it is transferred back.

The typical workflow is:

  1. Technicians request parts
  2. Warehouse staff see the requests in the picking overview and transfer the parts to the respective picking location

When a work order is completed, parts may still remain on the picking location — for example, unused parts or disassembled parts. These remain there until they are manually transferred.

Parts can still be transferred to regular inventory after the work order has been completed. However, no further parts can be added to the picking location once the work order is finished.

Picking can be managed in two places:

View Purpose
Inside the work order Shows only the picking for that specific work order. Suited for technicians working on a particular job.
Picking in the inventory Shows an overview of all work orders with their picking locations and the current status of their parts. Suited for warehouse staff.
