Creating Work Orders

Work orders don’t have to be created from the work order list. They can be created from various locations, such as:

  • the fast action on a device page
  • from a work template
  • directly from a case
  • automatically via a strategy

Regardless of the starting point, the same work order is created.

  1. Navigate to Work Orders in the sidebar
  2. Click Create Work Order
  3. Fill in the details:
    • Name (required) — A descriptive name for the work (e.g., “Monthly cleaning — Robot Hall A”)
    • Deployment (required) — Which deployment the work order belongs to
    • Planned start — When the work should start
    • Duration — Expected time to complete the work
    • Devices (optional) — Select one or more devices this work applies to
    • Work template (optional) — Load tasks from a template
    • Tags (optional) — Maintenance tags for categorization
    • Linked service job (optional) — Assign the work order to a service job
  4. Click Save

A work order can be linked to one or multiple devices. For each linked device, you can define specific tasks — allowing you to track work per device within a single work order.

The Assignee is the person responsible for completing the work order. If no assignee is set, the deployment’s Default Maintenance Assignee is used (if configured).

Attach Maintenance Tags to work orders for categorization and filtering. Tags are useful for:

  • Grouping work by department or area
  • Marking urgency levels
  • Filtering the work order list

You don’t have to create every work order manually. Strategies can automatically generate work orders on a schedule. See Strategies for details.
